Booking Policies

Ready to join us? Here's everything you need to know before you book.

1. Who Can Join

All participants must be 18 years or older.

Our trips involve walking 2-5 miles daily on cobblestone streets, standing and dancing for 2-4 hours at a time, and climbing stairs. You should be in good general health and able to participate without assistance.

A valid passport required (must be valid 6 months beyond return date). US citizens don't need a visa for Spain for stays under 90 days. A non-refundable deposit is required to secure your spot on any trip. This allows us to confirm accommodations and experiences with our local partners.

2. What's Included in Your Trip

We offer two types of experiences:

Flamenco Immersion Trip

Our Flamenco Immersion Trip to Seville, Spain includes 15 hrs of dance instruction with live music on select days, scheduled cultural activities and programming, entrance fees to flamenco shows and venues, group activities with your trip leader, and an English-speaking coordinator throughout. Accommodations, transportation to/from Sevilla, ground transportation, meals (unless noted by an activity), and airport transfers are not included. We'll provide personalized recommendations for hotels, restaurants, and logistics.

Full Experience Trips

Our all-inclusive cultural trips include shared double occupancy accommodations, dance or cultural instruction (hours vary by trip), all scheduled cultural activities and entrance fees, select group meals (see itinerary for details), ground transportation for all group activities, airport transfers on designated arrival/departure days, and an English-speaking trip leader throughout.

Not included in either trip type: International airfare, travel insurance (required), personal expenses (souvenirs, snacks, drinks not included in group meals), tips and gratuities for instructors and service providers, and single room upgrade (available for additional fee on Full Experience Trips, subject to availability).

3. Payment

Deposit: 50% due at booking (non-refundable)

Final Payment: Remaining 50% due 60 days before departure

Payment methods: Credit card (3% fee), bank transfer, PayPal, Venmo

Late payment: We may charge the card on file if payment isn't received by the due date. Continued non-payment results in cancellation with fees applied.

Travel insurance is required for all travelers. It’s your safety net if something unexpected happens, from flight delays to illness.

Important: Our Flamenco Immersion Trip to Seville, Spain follows a different payment system. Contact us for details.

4. Cancellation Policy

More than 90 days before departure: Deposit forfeited (50%). Remaining payments refunded.

60-90 days: 50% of total trip price forfeited. 50% refunded.

30-59 days: 75% forfeited. 25% refunded.

Less than 30 days: 100% forfeited. No refund.

No exceptions for illness, emergencies, work commitments, or any other reason. This is why travel insurance is required.

5. Trip Transfers

Change to another trip date:

  • 90+ days out: One free transfer (subject to availability)

  • 60-90 days: $250 fee

  • Under 60 days: Not permitted (cancellation policy applies)

Name changes: $100 fee up to 60 days before departure. New participant must meet all requirements.

Each participant is responsible for valid travel documents, compliance with local regulations, and personal well-being during the trip.

6. Travel Insurance - Required

Comprehensive travel insurance is mandatory for all participants. Must include trip cancellation, medical coverage, emergency evacuation, and baggage coverage. Get cancel-for-any-reason (CFAR) coverage within 14 days of booking for maximum protection. Without insurance, you risk losing your entire trip cost if you need to cancel.

7. Health & Safety

Health disclosure form required 60 days before departure covering medical conditions, medications, allergies, dietary restrictions, and emergency contacts.

Dietary accommodations: We'll work with you on vegetarian, vegan, gluten-free, and other dietary needs, but Spain's food culture may make some restrictions challenging. You may need to supplement with your own food at times.

Emergency situations: You authorize us to obtain emergency medical treatment if necessary. You're responsible for all medical costs. Bring adequate health insurance that covers you in Spain or the country in which we host the trip.

8. Your Responsibilities

You agree to arrive on time with proper documentation, comply with local laws and customs, respect other travelers and trip leaders, disclose medical conditions that affect participation, provide accurate information in all forms, follow trip leader instructions, and behave in a way that doesn't endanger yourself or others or disrupt the group.

We reserve the right to remove anyone whose behavior violates these standards. No refund will be provided.

9. If We Need to Cancel or Modify

Weather or local circumstances may require itinerary adjustments. We'll preserve the spirit and quality of your experience.

If we cancel your trip:

  • 60+ days before: Full refund or transfer to another date

  • Under 60 days: Full refund or travel credit (valid 1 year)

For events beyond our control (pandemics, natural disasters, terrorism, government restrictions), we'll offer travel credit minus costs already paid to suppliers that can't be recovered.

10. Liability & Risk

Cultural immersion travel involves inherent risks including physical activity, international travel, and unfamiliar environments. By booking, you acknowledge that:

You voluntarily assume all risks of participation. You release The Wandrly Way from liability except for gross negligence. Our maximum liability is limited to the trip price you paid. We partner with trusted local providers but aren't responsible for their actions or third-party supplier failures.

Complete liability waiver and other required documents must be signed before your trip.

11. Photography & Media

We capture photos and videos during trips for marketing purposes. You'll sign a media release at booking allowing us to use your image, or you can opt out. We can't control photos taken by other participants. If you share trip content on social media, you grant us permission to repost it.

12. Governing Law & Disputes

These policies are governed by New York law. Any disputes will be resolved through binding arbitration in New York, NY. You waive the right to jury trial and class action participation.

These terms are governed by the laws of New York, United States.
